Overview

World Wildlife Fund (WWF), one of the world’s leading conservation organizations, seeks a Special Assistant, Human Resources.

 

Major Function

Supports the Senior Vice President, HR (SVP) on a variety of daily activities and longer-term priorities to support the smooth functioning of the HR Department.  Helps SVP and others on the HR Team attend to priorities and ensures prompt attention to activities. Prepares communications and presentations.  Uses knowledge of institutional procedures and priorities over time to manage processes and complete tasks. This position has a dual-reporting relationship and supports the HR Director and the HR Business Partner team on HR Administration duties.

Responsibilities

SVP of HR (50%) 

  • Coordinates and maintains SVP’s calendar to optimize time and to facilitate the exchange of information.  Coordinates all aspects of meetings, travel, trainings, and other events.  Determines the nature of appointments and helps obtain the necessary background materials.  Delegates assignments to other staff at the request of and on behalf of the Executive. Monitors deadlines follows up on delegated tasks and provide appropriate reminders.  Coordinates Team meetings including preparation of agenda and materials.
  • Provides assistance to SVP in preparing for meetings and special projects. Ensures that s/he is totally briefed and prepared for internal and external sessions. May attend meetings with SVP to document, as appropriate, critical commitments and follow through required. Ensures prompt follow up on activities.
  • Manages communications, including preparing presentations, drafting, and editing written memoranda, talking points, letters, and other internal and external communications. Serves as a content expert in the development of presentations. 
  • Maintains strong relationships with leaders and managers in the organization in order to facilitate communication and support organizational goals. Ensures relevant agenda items and initiatives are given the proper time and consideration on the SVP’s calendar.
  • Undertakes research and special projects, such as locating and synthesizing information, writing reports, and responding to requests for information. Monitors new technical information, policy developments, and issues and trends.
  • Reviews and processes payments for credit cards transactions, expense reports and invoices. Inputs proper coding into financial system, handles re-classes and serves as the liaison with accounting to track payments. 
  • Stays abreast of developments and initiatives within the organization and ensures that both the SVP’s agenda and activities are aligned with the priorities.  Stays abreast of developments within the Network’s People and Culture Team that may impact WWF-US and its objectives.

HR Director / HRBP Team (50%) 

  • Works closely with each HR Business Partner to conduct the full range of business processes in the HR Information System - Workday, to support the entire portfolio of client groups across WWF.
  • Monitor and conduct follow-up communications with all approvers as necessary in the Workday business process approval sequence, ensuring processes are completed by all approvers in a timely manner. 
  • Run regular monthly reports in Workday to support HR Business Partners tracking of Limited Term employees and processes including extensions, visas renewals, and terminations. 
  • Monitor the weekly Staff Update Report and flag new hires for each HR Business Partner; ensure that the correct job description is appropriately filed in the personnel folder for each new hire. 
  • Work closely with the HR Director to support the Rewards and Recognition program. 
  • Executes tasks related to COVID-19 protocols to ensure regulatory and organizational compliance.
  • Performs other duties as assigned. 

Qualifications

  • A Bachelor's degree or equivalent experience is required. Four or more years of work experience required.  A master’s degree may be substituted for 2 years of experience.
  • Superb organization and follow through skills.
  • Demonstrated success as a proficient multitasker with impeccable attention to detail
  • Takes initiative, demonstrates strong critical thinking skills, and operates with discretion
  • Able to work well independently; demonstrates good judgment.
  • Strong written and verbal communication skills.
  • Excellent interpersonal skills requiring the courtesy, tact, and diplomacy necessary to effectively communicate with staff, callers, and visitors.
  • Energetic and passionate about conservation.
  • Ability to work with staff across levels and build relationships with a variety of stakeholders.
  • Ability to effectively prioritize and execute a large number of activities at once.
  • Proficient in Microsoft Office suite, especially Word, Excel and Power Point.
  • Familiarity with HRIS systems is a plus, Workday knowledge is a doble plus.
