Under the direction of the VP of Finance & Facilities Administration, supports members of the Finance department, VP of Accounting, and VP of Program Operations. The position is responsible for various standard and financial management related functions, including expense review, journal corrections of mis-coded expenses and invoice processing, and administrative duties, and coordinating special projects to ensure the smooth functioning of the departments.

Finance Team:

• Financial Management Support - Processes invoices and credit card transactions in the financial system, handles expense reclasses, and liaises with accounting to track payments. Monitors expenses against budget, seeking explanations for significant variations. Assists with gathering preliminary data and background information for budget preparation.
• Capital Projects Support - Provides administrative support in WWF's institutional capital project management. Sets up program and project codes and project plans under the direction of the Financial Operations Lead. Runs monthly capital-in-progress report, meets for initial financial reviews, updates project budgets and coordinates review meetings with project owners.
• Report preparation - Supports ad hoc reporting by creating tables, charts, and other infographics as directed. Performs data validation of published financial reports/dashboards. May assist with compiling input for proposals and preparing presentations.
• Joint Cost - Supports the joint costing function for WWF to properly allocate costs from the Membership program mailings between fundraising and public education following preestablished directions based on specific criteria under FASB 98-2 regulations for joint costs. Enters the data in the cost sheets Supports the Sr Financial Analyst (Reporting) in analyzing and answering questions as needed.

With the Entire Finance Ops Team:

• Meeting coordination and Communication – Manages meeting requests, schedules, organizes meetings, greets visitors, and handles internal and external requests for supervisor(s) and team members. Frequently attends meetings and takes notes and follow up. Answers inquiries requiring departmental procedures and priorities. Coordinates meetings/conferences/special events, including attendee coordination, space and equipment rental, audio visual needs, catering, and material preparation.
• General office duties –Maintains content of the Accounting, Program Operations, Finance, and Facilities Administration intranet pages. Coordinates mailings, production, and distribution of documents, reports, and other materials: plans and coordinate team meetings, retreats, and other department events. Makes travel arrangements; handles the administrative aspect of new employee set-up; orders office supplies.
• Performs other duties as assigned.

• A Bachelor’s degree and equivalent work experience in accounting or Finance.
• Minimum 5 years of demonstrated and progressively responsible experience in helping effectively support teams and coordinating a department or team activities preferred.
• Strong organizational skills and attention to detail
• Excellent communication and interpersonal skills; strong customer service skills
• Initiative to independently manage assigned tasks.
• Ability to manage multiple priorities; ability to adapt quickly to changing situations and priorities.
• Proficient with Zoom and audio-conferencing technologies required.
• Exceptional skills with MS Office software (Outlook, Word, Excel, PowerPoint, Teams)
• Experience using SharePoint and other O365 cloud technologies.
